Registration Guidelines for EWIS 2023

Registration is closed.

 

 Please read the instructions below carefully.

Participation is open to paper presenters with accepted status only.

All participants must register via ConfTool. To do so, please log into your user account and go to “register as participants.”

 

The registration is available for participants accepted to the workshops. Log-in details were sent to these participants via email. Participants who did not submit an abstract/ or their abstract wasn't accepted, are not eligible to attend EWIS.

 

 

Registration Fees

 

Non-members 240 €
EISA members 150 €
EISA student members* 60 €
Workshop conveners 80 €

*In the ConfTool system, please upload a proof of your student status.

All above fees include local VAT.

 

Please renew your membership first or become an EISA member before you register for EWIS 2023 to pay the lower registration fee. All EISA members are entitled to get a reduced registration fee for our events. For more information about the EISA membership, please visit the membership section on our website.

When you transfer your fee, please add your ConfTool ID and name to the bank payment.

Students have to upload a proof of their status on ConfTool to pay the student fees.

Participants pay the transaction bank fees.

Please make sure to pay your registration fee before the deadline 9 April 14 April 2023 for the selected registration fee. Unpaid or partially paid registration will not be considered as valid until fully paid.

 

Registration Fee Includes:

  • Admission to the applicable workshops
  • Welcome package
  • Opening reception (12th July)
  • Coffee breaks

Opening Reception

The opening reception will be held on Wednesday 12 July 2023. Ticket is included in the registration fee. Reception includes complimentary food and drinks.

 

Confirmation

Each participant will receive an email with bank details. Once the payment is confirmed in our system, ConfTool will automatically send participants a confirmation email. Also, registration details could be checked in the system after login in.

 

Payment Details

All fees are to be paid in EUR (€), free of all bank charges. However, please confirm with your bank as to any possible charges from their side. The payments are available until 14 April 2023.

 

Online Payment by Credit/Debit Card

Via credit card, using the secure online payment service "Stripe".

Use the secure Stripe gateway to pay by credit card. The following credit cards are accepted : Visa, MasterCard, American Express, UnionPay

In the unlikely event of a rejected on-line credit/debit card payment, the delegate is recommended to return to his/her registration online and try to process the payment again. Should the payment issue persist, the participant is advised to contact the card issuer/bank first to check for any potential block on the online transaction. If so, once this is removed it will be possible to pay via the online payment gateway.

 

By Bank Transfer

Registration fees can be paid via bank transfer.

Please make sure that the payment is free of all bank charges and participant’s name and ConfTool ID are clearly stated in the bank transfer.

Participants name should be written in the comment section, ConfTool ID as variable symbol. Payments received without such details (name, ConfTool ID) cannot be identified.

Final Invoice

The final invoice will be provided to the participants only upon request at info@eisa-net.org.

 

Cancellation / Refund Policy

Cancellation of Registration

  • Until 9 April 2023 - 20 EUR administrative fee will be deducted from all refunds
  • From 10 April 2023 - no refunds can be processed

All cancellations must be notified by email.

No refunds will be given for registrations for failure to attend, late arrival or early departure from the Workshop.

VISA-RELATED REIMBURSEMENT POLICY

As a professional association representing members from more than 60 countries, we recognise that access to our events can be limited by restrictive border regimes. In order to lessen the potential impact of such restrictions on our members, EISA follows a non-fault refund policy for members whose attendance at our events are jeopardised by visa delays or rejections. Registered participants who face attendance barriers due to visa delays or rejections can apply for a full refund of their registration fee by the first day of the event. Please contact the event team with a copy of your visa decision letter.

 

EISA policy on non-fulfilment of commitments

Each year EISA receives many more applications for places at each of our events than we have places available. We therefore take the commitment to attend and participate in our events seriously. It is EISA policy that anyone who fails to adhere to the registration deadline of any event, before which time you could cancel your participation, will be penalized. Anyone found to be in non-fulfilment of their commitments to EISA will not be allowed to participate in any EISA events for a calendar year. Exemptions to this on medical or other exceptional grounds will be considered but please note that withdrawals past the deadline due to lack of funding or other professional or personal commitments are not considered sufficient reasons for partial refunds or for exemption from non-fulfilment of commitment penalties.

 

Insurance

The registration fee does not include participant’s insurance against accidents, sickness, cancellation, theft, property damage or loss. All participants are advised to take out adequate personal insurance.
